This Privacy Policy explains how MB Executive Cars handles personal information when you visit our website, request a quote, contact us or arrange chauffeur and airport transfer services.
1. Who we are and how to contact us
MB Executive Cars is responsible for deciding how the personal information described in this policy is used. We provide pre-booked chauffeur travel and airport transfers, with a personal approach to arranging each journey.
For privacy enquiries, requests or concerns, email info@mbexecutivecars.co.uk or call 07500 609030. Please identify your enquiry as a privacy matter so that we can direct it appropriately.
2. Information you provide
When you enquire or book, you may provide your name, email address, telephone number, collection and destination addresses, journey dates and times, flight details, passenger numbers, luggage requirements, preferred vehicle and other instructions. We also receive the messages you send by email, telephone or WhatsApp.
Our enquiry records can include a request reference, internal notes, progress status and notification results. If you book, related correspondence, agreed prices, payment records and information needed to resolve any changes, complaints or disputes may also form part of your record.
If you arrange transport for someone else, please make sure they know you are sharing their information with us and that they can read this policy. Only provide information needed for the journey. Please avoid putting unnecessary medical details or other sensitive information in the enquiry form; contact us privately to discuss practical assistance requirements.
3. Website and technical information
Our website and its hosting, security and email services may process technical information such as IP addresses, browser and device information, access times, requested pages and delivery or error logs. These records help operate the site, protect forms from misuse and investigate technical problems. The enquiry form also uses a short-lived, hashed network-address identifier to limit repeated submissions.
Basic details entered in the homepage form are passed to the full quote form through the page address. This can include journey locations, date and time. Avoid sharing a filled-in quote-page link if it contains details you want to keep private.
4. Why we use your information
We use the details you supply to review requests, prepare quotes, discuss availability, select a suitable vehicle, agree collection arrangements and deliver confirmed journeys. Contact information enables us to ask questions, send a receipt where enabled and communicate about your booking.
We also use relevant records to manage payments and accounts, keep track of requests, respond to complaints, investigate misuse and deal with insurance or legal matters. An acknowledgement email confirms receipt of an enquiry; it is not a booking confirmation.
5. Our lawful bases
We rely on steps requested before a contract and performance of a contract to handle your enquiry and deliver a booking. Legitimate interests support service administration, security and handling disputes, subject to your rights. Legal obligations may require accounting or regulatory records. Where consent is required for an optional activity, we seek it separately. A privacy-policy acknowledgement does not itself authorise marketing.
6. Who may receive information
Journey details needed for collection and travel may be shared with the driver carrying out the booking. Suppliers providing website hosting, administration, backups, email delivery or other business support may process information as needed to provide their services. Payment services, professional advisers, insurers or public authorities may receive relevant information where necessary for a transaction, advice, a claim or a legal requirement.
We limit sharing to information relevant to the purpose. We do not sell customer contact lists. If you contact us through WhatsApp or another external service, that provider also handles information under its own privacy terms.
7. Enquiry storage and security
Online requests are saved as private records in our WordPress administration system. The enquiry dashboard restricts access to authorised administrators. Requests may also be emailed to the operator, and customer receipts can be sent when enabled. Copies may therefore exist in the website database, mailboxes and backups.
We use access controls and appropriate operational safeguards to help protect information. No website or email system can guarantee complete security. Please do not send payment-card details, passwords or identity documents through the general enquiry form.
8. International processing
The location of processing depends on the hosting, email, messaging and other service providers used. Where information is transferred outside the UK and a restricted-transfer rule applies, an appropriate lawful transfer arrangement is required, such as an adequacy decision or approved contractual safeguards. Contact us for information about arrangements relevant to your enquiry.
9. How long information is kept
Retention depends on the purpose of the record. Unsuccessful enquiries are kept only while needed for follow-up, administration or a dispute. Confirmed booking and financial records may need to be retained longer for accounting, regulatory, insurance or legal requirements. Technical logs and backups follow the relevant service's retention arrangements.
The website enquiry system does not automatically delete requests after a set period. Records need to be reviewed and removed when no longer necessary; mailbox copies and backups are managed separately. Contact us if you would like details about the retention of a particular record.
10. Cookies and external links
Cookies and similar technologies may support essential website functions, security or saved preferences. Optional features, if enabled, may use additional technologies. Consent is sought where legally required; any available cookie controls describe the choices offered. Browser settings can also restrict cookies, although this may affect functionality.
Links to WhatsApp, external websites and other services take you to providers whose privacy and cookie terms apply independently. This policy does not describe their processing in full.
11. Your rights
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your information, and object to certain processing. Where processing relies on consent, you may withdraw it without affecting earlier lawful use. Some rights have legal exceptions. We may need to confirm your identity before responding.
To make a request, contact info@mbexecutivecars.co.uk and give enough information to identify the enquiry or booking. If a request cannot be met in full, we will explain the reason.
12. Complaints and policy updates
Please contact us first if you have concerns so that we can try to resolve them. You can also raise a concern with the UK Information Commissioner's Office through ico.org.uk/make-a-complaint/.
We may update this policy when our services, systems or practices change. The date above identifies the latest version published on this page.
